Event budgeting can be a daunting task and as an event producer, it’s understandable to focus primarily on the big-ticket production elements when pricing out your event.

As a permitting agency who gets looped in at various stages of the event planning process, we see budgets of every size. Our experienced team is well-versed in helping our clients build realistic budgets to gauge what is possible and what is not based on their event scope.

With that in mind, there are several event elements we consistently see event producers and managers either under-allocating for or ending up forgetting entirely when setting their program budgets.

Here is a list of our top 4 often overlooked items to budget for:

  1. Event Security and Safety

While it may not fall under the “aesthetic” part of event planning, event security and safety is arguably one of the most important aspects of your activation planning. It’s also one of the areas we find event producers looking to trim when trying to save budget dollars. In today’s event landscape, city agencies look for well-thought-out security plans as part of your overall event strategy, be it a small-scale pop-up or well-known music artist performing. This is not a line item to cut corners on. Allocating a safety budget that is commensurate with the size and scope of your event will help ensure a safe and smooth event.

  1. City Rush Fees

While we’d admittingly love for every event that comes across our desk to start planning months out, we know (all too well) that this isn’t always the case. There are many cities where permit fees increase the closer you get to the event deadline, which can drive up the overall cost. In some cities, the permitting deadline is a drop-dead date effectively eliminating the ability to file late as an option. Keep this in mind if your activation has a quick turnaround.

  1. Waste Removal Plans

As experiential marketing has shifted towards more sustainable practices, there are now specific environmental initiatives and regulations required by various markets for in-depth waste removal plans. In some cases, permit approval is contingent upon providing a written waste management plan that may require proof of contracting a third-party vendor to remove waste/trash during and after your event, which in turn will impact budget. A well-thought-out sustainability and waste management plan should always be considered as part of the event planning process.

  1. Permit Fees

Believe it or not, even when permits are factored into budget, they are often underestimated. No two event –or city– is alike and pricing can fluctuate year-to-year and location-to-location, even in the same city. A 10×10 in Chicago for one activation may vary greatly in price by just adding in something that may seem like a small deviation.  Sampling, power, social media, celebrities/influencers, structures, street closures– these are all factors that could potentially trigger additional permits or inspections.

Although permitting is our primary focus, there are many other items that fall within the permitting umbrella that are often overlooked or under-budgeted for. Including flexibility in your budget for these additional items can help you avoid budget-shortfalls or last-minute concept pivots down the line.
