“Why is my permit application being held up?”
If you’ve asked yourself this question before, you’re not alone. Many event producers have run into this scenario for one reason or another and while it can be frustrating, it’s important to know that there isn’t always a simple answer.
The reality is, there are SO many factors that come into play – some within your control and some outside of it (no matter how hard you try)! You may also be surprised to know that even if your application looks perfect on paper, delays can still happen.
With over three decades of experience in the permitting and event world, we have learned and seen a lot. So, what are some of the main reasons we have seen permits get delayed over the years? Let’s break it down so you and your team can stay ahead:
This one may seem obvious, but you would be surprised how often we are asked if we can expedite a permit after the deadline has passed. Meeting submission deadlines is essential to timely approvals and by failing to do so, you are rolling the dice on your event.
While submitting your permit application on time is essential, turning in a complete application is of equal importance. An application that is missing information can cause the same delays as a late submission. In many cases, cities will not even look at an application (and certainly not approve it) without all the information requested – even if you are just waiting on “one thing.”
What may seem like one simple change to your event could trigger additional permits or ancillary requirements from the city, which tacks on additional review and processing time. Additionally, cities expect you to stick to your submitted site plan. If they happen to show up on event day and see unapproved elements added to your footprint, you risk having your event shut down.
From major sporting events like The Big Game and World Cup, to Comic Conventions, there are certain events and times of the year where cities or inundated with permit applications, which in turn causes delays. While most of this is out of your control, the one thing you can control is early planning. In most cases, getting in your application ahead of the queue will help improve your chances of your event being reviewed quicker.
While clearly, you can’t control every part of the permitting process, there are several things you CAN do as the event producer to set yourself up for success as much as possible. Our biggest advice? Start the planning process early, submit all required documents on time and report any scope changes ASAP. While not foolproof, these small steps can help you and your team stay on track, while avoiding unnecessary delays along the way.
